§ 01The status quo

A 60-page RFP, answered with Word, Excel, and reply‑all.

Most deals don’t turn on whether you can meet the requirements. They turn onproving it before the deadline. The proof already exists, in your datasheets, test reports, and a few engineers’ heads. Assembling it is still done entirely by hand.

§ 02How it works

The whole tender, in front of your team.
Every step in one workspace.

01

Extract

Upload the whole bundle: the tender, the bill of quantities, the specification, the addenda. Every requirement is pulled out and structured, whether it arrives as a PDF, an Excel sheet, scanned, or in another language.

02

Understand

Each requirement is read on its own terms: what is actually being asked, which team answers it, and what it takes to fulfil it. Decided from the tender text alone.

03

Recall

For each requirement, Stazion finds what you have already said: proposals you actually sent, and your own documentation, with the source. Nobody rewrites an answer the company has already given.

04

Draft

The response takes shape per requirement, with a compliance verdict where one can honestly be given and none where the equipment has yet to be designed. A draft your team edits, not a blank page.

05

Collaborate

Every requirement already carries the team that answers it, so the work is easy to divide. Assign requirements, @mention colleagues, or ask a teammate directly in Microsoft Teams; one-click answers flow straight back into the response.

06

Send & learn

The response goes out from your rep’s own mailbox. When the buyer sends a new version, changes are compared line by line, and every sent answer sharpens the next draft.

Machine output is always a draft. A human approves every change

§ 03The choice

Tell Stazion which product you are selling.
It answers from that, and nothing else.

Before it answers anything technical, you point it at the documents for the product you are quoting. If you are designing a new machine for this tender, there are no documents yet, so it drafts from your own material and claims nothing about compliance. Nobody can promise what a machine will do before it is drawn.

THESE FILES

You know which product you are quoting

The usual case for a distributor selling a supplier’s equipment. Stazion answers from the datasheets you pick and nothing else, looks up a specification value where the tender asks for one, and can give each requirement a compliance verdict with a quote to back it.

MY WHOLE LIBRARY

You have not picked a product yet

Requirements are judged against everything in your library rather than one product, for when the configuration is still open.

WE BUILD IT OURSELVESMOST COMMON

You are designing it for this tender

The usual case for a machine manufacturer building to order. There is no datasheet yet, so Stazion drafts each specification from your own material and from how you answered the same thing before, with the sources attached and no compliance verdict. Where you have nothing on file, the line stays empty for your engineer.

Until you choose, nothing gets answered. Rebuild the requirement list and the choice resets

§ 04Evidence

Every answer cites its source.

A drafted response only helps if the person sending it trusts it enough to edit rather than start over. That trust is built one citation at a time.

01

Verbatim, verified quotes

Every verdict carries an exact quote from your own library, checked against the source text. Never a paraphrase.

02

“Not found” instead of a guess

If the evidence isn’t in your documents, the draft says so and flags the requirement for a human, instead of inventing an answer.

03

Reuses what you actually sent

Past answers are recalled only from responses you actually sent, never from old drafts, so it repeats what you stood behind, not something half-written.

04

Numbers stay yours

A price is read from your own product record or entered by your rep. Never invented, and never guessed by a model.

“The supplier shall document a mean time between failures (MTBF) of at least 40,000 hours for all drive units.”

Comply. The DRV-550 series is certified at 50,000 hours MTBF under continuous operation, verified in third-party endurance testing. Full test protocol available on request.

Which of our pumps can run a 3% sand slurry continuously at 40 bar?

The HD-900 series handles abrasive slurries up to 5% solids at a rated discharge pressure of 50 bar, so it covers this duty with margin. The standard HX-400 is limited to clean fluids and is not suitable here.

ANSWERED FROM YOUR OWN DATASHEETS · NEVER A GUESS

The knowledge of your best engineer, on demand.

Not every question comes wrapped in an RFP. Reps ask the AI Sales Engineer anything about your products and get an instant, sourced answer, drawn from the same documents your tender responses come from. No waiting in the engineering queue, no guesswork.

01

Instant answers, no engineering queue

Every salesperson asks in plain language and gets a trustworthy answer in seconds, instead of waiting days for an engineer to reply.

02

Every claim cites its source

Each answer points to the exact document and page it came from, so the rep can verify it and quote it with confidence.

03

Compare products and configurations

Ask which model fits a spec, or how two units differ, and get a side-by-side answer drawn straight from your own datasheets.

CHANNEL

Teams-native

Questions to engineering go out through Microsoft Teams with a one-click reply page. No new tool for the people who only answer twice a year.

OUTBOUND

Sends as your rep

The response leaves from your salesperson’s own Outlook mailbox, not from a vendor address the buyer has never seen.

RESIDENCY

EU data, isolated per org

Built in Denmark for European industry. Data stays in the EU, encrypted, with every organization fully isolated from every other.

INPUT

Reads what buyers actually send

PDF (including scanned), Word, Excel, and PowerPoint. Non-English RFPs are detected and translated so your team works in one language.

§ 07After the deal
SHARED ENGINEER · CLIENT WORKSPACEGATED
What’s the recommended service interval for the DRV-550 under continuous operation?

Under continuous operation the DRV-550 requires a lubrication service every 8,000 hours and a full inspection at 20,000 hours. Both can be performed without removing the unit from the line.

Give every client their own engineer.

The questions don’t stop when the deal closes. Hand each client a private AI Sales Engineer, trained only on the documents that matter to them. They get instant technical answers long after handover, and you see exactly what they ask.

01

Trained on the documents you pick

Each client’s engineer sees only the manuals, datasheets, and specs you choose for them. Nothing else from your library.

02

Gated to the addresses you choose

Access is limited to the client email addresses you approve. No public link, no anonymous traffic.

Stazion is the AI Sales Engineer for machine manufacturers and distributors. First, it takes an incoming RFP, RFQ, or RFI and breaks it into every requirement, grouped under the team in your organization that answers it, with what you committed to on past tenders attached to each one. Your team writes the response; where the product comes off a datasheet, Stazion drafts and judges it too. Second, it answers technical product questions in plain language, instantly, with sources, so salespeople don’t have to wait on engineering.
